Plan and Credits
The organization owner manages billing in Settings → Subscription (/settings/subscription). This section brings together credits, the subscription, upcoming charges, and invoices.
Admins can open Plans (/admin/pricing) and may see upgrade buttons on pages that have reached a limit. However, only the owner can complete checkout or open the billing portal. If you are not the owner, ask them to make the change.
Check credits and subscription
Section titled “Check credits and subscription”In Subscription, check:
- Credit Balance: available credits, usage in the current cycle, the included quota, and the next renewal date. The progress bar appears when the plan has a monthly quota;
- Current Plan: subscription name and status;
- Subscription price and billing interval, when available;
- Next charge: expected amount and date, when provided by the billing provider;
- payment-issue or scheduled-cancellation alerts;
- Recent invoices: up to five invoices with status, a View link, and a PDF download when available. Select Refresh to fetch the latest state;
- Calls: the meetings add-on state and a link to the plans page.
Manage Subscription opens the billing portal to update payment details, inspect the subscription, or change a paid plan. View plans opens /admin/pricing.
How credits are consumed
Section titled “How credits are consumed”Credits measure work performed by AI. The cost of a response can vary with:
- the model used by the agent;
- input and output tokens;
- system instructions and conversation history sent as context;
- chunks retrieved from knowledge bases;
- additional model rounds triggered by tools;
- image generation and other services charged during the run.
For this reason, two responses from the same agent may cost different amounts. To investigate usage, open Analytics → Credits and filter by agent, channel, and period.
When credits reach zero, AI agents stop replying until the quota renews or the organization purchases more capacity. Existing conversations and data are preserved.
Human replies do not consume credits
Section titled “Human replies do not consume credits”When a team member takes over a conversation and replies manually, that message does not consume SquadOS credits. The team can continue sending human replies through inboxes even when the AI credit balance is zero.
The connected channel may have costs of its own outside SquadOS. Those costs are not shown as platform credits.
Compare and change plans
Section titled “Compare and change plans”In Plans (/admin/pricing), choose monthly or annual billing and compare:
- Free: 100 credits per month, 1,000 knowledge tokens, and up to 5 agents;
- Pro: choose a credit and knowledge-token tier; agents and users are unlimited;
- Enterprise: unlimited credits and tokens, custom integrations, priority support, and a custom SLA.
Pro prices and tiers are loaded by the product and may change. Check the plans page itself before advising a purchase. For a paid subscription, changes are completed in the portal opened by Manage Subscription.
Agent and user limits
Section titled “Agent and user limits”The Agents and Users pages show current usage against the plan limit. When the agent maximum is reached, + New Agent becomes unavailable and Upgrade plan appears for admins and owners.
Valid pending invitations count toward the user limit. Plan-restricted users remain identified so the organization can free seats or change its subscription. See Users, Roles, and Teams to manage those seats.
Calls add-on
Section titled “Calls add-on”The Calls add-on provides unlimited meetings with up to 30 participants. The call itself uses no credits; AI transcription and meeting minutes use plan credits.
The add-on requires a paid plan and may be rolling out gradually. Confirm current availability and pricing in Plans before advising a purchase.
Use your own OpenRouter API key
Section titled “Use your own OpenRouter API key”The owner can connect their own key in Settings → AI Provider. In this mode:
- OpenRouter bills model usage directly to the linked account;
- SquadOS charges a fixed 1 credit per AI message for orchestration;
- the OpenRouter balance does not appear in Subscription;
- SquadOS checks the key periodically and shows the owner a warning when it detects a low balance or another problem.
See Organization Settings to connect and monitor the key.
Quick troubleshooting
Section titled “Quick troubleshooting”- Agent stopped, but humans can still reply: check Credit Balance and the next renewal.
- Payment issue: open Manage Subscription and update the payment method in the portal.
- Invoice is missing or stale: select Refresh under Recent invoices.
- A billing button does not complete the action: confirm that you are the organization owner.
- Usage increased unexpectedly: filter Analytics → Credits by agent and period; review that agent’s model, history, knowledge, and tools.
Best practices
Section titled “Best practices”- monitor usage after publishing an agent or connecting a new channel;
- use more economical models for simple tasks and reserve advanced models for work that needs them;
- keep history limited to the context that is actually necessary;
- investigate tools that fail repeatedly, because additional AI rounds can increase usage;
- check balance, renewal, and the next charge before high-volume campaigns.
